There is an adequate student progress monitoring system

System monitoring student progress and learning processes are conducted regularly and consistently with:

  • Assessment results of the teaching learning process in one semester about courses taken by each student can be viewed online in SIAM (students’ academic information system) FAS-UB (http://www.fia.ub.ac.id/lama). In the SIAM students can see the results of their evaluation of the learning process for a semester with the issuance of KHS (report card) in SIAM(Students’ Academic Information System).
  • Academic Advisor, who always meet regularly in the early semester before the new semester begins where the students can consult on their Report card (KHS) on their previous semester, and consultation on the Study Plan Card (KRS) for next semester that also programmed in SIAM (students’ academic information system).
  • Monitoring through Lecturer official report of teaching and learning in one semester.
  • Lecture monitoring by lecturers during the teaching and learning process in the classroom at each meeting.
  • The success evaluation of Students study issued each year by the Faculty Academic sub-sections. (See appendix 26 page 25).

Students get adequate academic advice, support and feedback on their performance for adequate academic advice

Students get academic advice, support and feedback on their academic ability by their academic supervisor with several stuffs such as:

  1. After registering students in the faculty, the next step is the process of stabilization before students carry out education orientation period (ORDIK) which is a student activity in 3 days (a day in university and 2 other days in faculty) consists of the introduction of campus activities, socialization and academic learning. Students’ orientation (ORMAWA) is a new student activity in faculty that conducted for 1 week before teaching and learning process is held, it is aimed to strengthening the knowledge and deepening the ethical life in university.
  2. Students get direct advice from lecturers and advisors related with right academic directions of private developments through lectures or meetings between students and lecturers or the university and college
  3. According to “Academic Regulation”, students who get bad learning results in each semester will be informed about their learning results through a system called “Academic Warning” therefore they can adjust their learning plan and result. It is also informed to students’ family to supports students with “Academic Warning” to have a good chance to adjust their learning.
  4. According to the achievements of policies for student learning, the university, faculty, companies and social organizations give the scholarships/employability for excellent students in each semester. PASP give them adequate academic advice, support and feedback, because students should be familiar with learning with researching.
  5. For students who have the ability and special interest given feedback in continuing their studies to a higher level both nationally and abroad to apply for various types of scholarships. In addition, students are directed to follow the competitions and other events both scientific as well as supporting the national and international level. The process of counseling for students at the level of the study program consists of two aspects, they are:
  6. Academic Problem:

Academic problem which is common to student is related to their grade and financial. If there are problems of grade, academic advisor can see the process of students KRS and KHS that performed at the beginning and the end of the semester. Academic advisor provides feedback or advice to students who have problems by writing that feedback or advice in students’ KHS and send it to the students’ guardian address through the academic in faculty. To deliver students’ KHS to the guardian address is not only performed by the troubled student but also work to all students.

For students who are going to drop out (DO) and students who always have grades under 2.00 every semester, they get evaluation from academic faculty through the hiring process at the department level. For students who still have interest to fix their grade in the next semester and able to complete the task according to the final limit are allowed to continue their study.

While students who have grades and maximum semesters limit which considered unable to be fulfilled will be recommended to other universities with similar study program. This is done in order to foster their sense of responsibility and to reduce the burden of study program about potential students who drop out.

  1. Non Academic Problems (psychological)

For students who have non-academic or psychological problems both personally and environmentally, they are able to do the counseling with their concerned PA lecturer. This is done when the student non-academic problem (psychology) can be completed by PA lecturer. If these problems are considered severe by PA lecturer, then PA lecturer able to give recommendation to the head of the study program and proceed to the head of department, and the head of study program will recommend to the psychology institution in the university.

Mentoring for students is adequate

Mentoring for students is adequate at PASP. Mentoring for students is the most important factors that determine the success of student education. It consists of some levels as follow:

  • At college and department level: Meetings of the College, Department with new students is carried out thoroughly at the beginning of each new academic year in order to provide useful information about the school, College and Department, educational programs, laboratories, internal status, appropriate assessment methods, studying methods at university, etc. through the process of stabilization before students carry out education orientation period (ORDIK) and student’s orientation (ORMAWA). For the next step will be assist by Counselors (PA lecturer) that appointed by the faculty through academic appointment letter of PA lecturer, a PA lecturer guide approximately 35 students (Appendix 40). In implementing duties and liabilities, PA lecturer regulated by lecture ethic code (Appendix 41) and ethic moral of civil servant (Appendix 39).

PA lecturer instructs students to comprehend the program curriculum. They also help their students to make a Full Study Plan that activates students’ active learning. PA lecturer for each group of student should know thoroughly capacity and circumstances of each students to have appropriate guidance. PA lecturer also learns about the thoughts and aspirations of students to help students overcome these difficulties. For students of the old study, the Department held a meeting to all students at the beginning of every academic year to listen to their feedback and comments, in order to support their learning. For monitoring other academic activities see appendix 27 and appendix 42.

  • At society-family levels: PASP combines with student’s family to exchange learning status of students to direct them. For example, “Academic Warning” helpsPASP and family together resolve students’ problems.

Besides, PASP organize meetings with companies-labor market with students is carried out through needs of training and employability for students. PASP have plan to upgrade advisors and have more workshops on student counseling task in order to enhance the responsibilities of academic counselors in the credit-based training system.

 The physical, social and psychological environment for the student is satisfied

University, faculty and PASP has physical, social and psychological environment that support academic atmosphere.Students of PASP have fully support in various things related to physical or sports activities, social activities or organizational psychology and counseling activities which take place within the Department, Faculty or University during the concerned students still in study period or in other words, still in a status as a student. As these 3 activities can be described as follows:

  1. For physical environment that support learning activity such as learning center (central library, laboratories), convention center, Information and Technology or IT, training center, sport facilities, art facilities, and public facilities (Raden Patah Mosque, telecommunication facilities, post office, plaza Koperasi Pegawai Republik Indonesia (KPRI) located near the campus entrance that provides various daily needs for students and community in general, bank & ATM). The environment that supports physical activity among college students is the availability of a variety of infrastructure related to the sports activities. And existing infrastructure is provided by universities and some are provided by the faculty. For the university the environment shapes physical activity/exercise for students is like the availability of GOR (gymnasium) for sports competitions, outdoor courts (basketball and volleyball), field indoor (Badminton, tennis, fitness center). And to the Faculty are also available enabling environment outdoor sports such as volleyball and basketball courts and fitness center as well.   2. For social environment, to perform social environment for students, Student Activity Unit (Unit Kegiatan Mahasiswa or UKM) is the place for student guiding for sports, arts, students press, etc. Student Activity Units are extracurricular implementation units on the university level. The Activity Units are divided into several fields that are interest of arts, sports, reasoning, student welfare, and particular interest. In the faculty level, social environmental for the students such as the Student Executive Board (BEM), Student Association, and various LO (Autonomous Institute) the field of sports, arts and culture at the faculty level. In the department or level, ordinary social activities for students with activities conducted comparative studies or field trip in each semester for several courses that organize it.
  3. For psychological environment for students that seen in the presence student activities always consult with the academic supervisor, it is designated by department or faculty at the beginning of each new semester after the students receive their Semester Study Results and before students undertake their study plan next semester see Appendix 43. Other psychological environment is at the start of a new the students to register in the faculty, the students were given a briefing and success effort to psychology students who will enter college have really ready for their new world faced originally a student but now has become a college students.
