Hendrawan: Management of Electronic Archives Becomes a Government Obligation

The importance of archives and archive management, especially electronic archives, is still being underestimated, making the Regional Archives Office and the Malang City Library hold Archive Management Technical Guidance on Wednesday, 10/2 at Hotel Trio 2, Malang City.

The activity, which was opened directly by the Assistant for General Administration of the Malang City Government, Yudhi K Ismawardhi, presented a Lecturer in the Library Science Study Program, Faculty of Administrative Sciences, Brawijaya University as well as the Archives Unit Team at the University of Brawijaya, Muhammad Rosyihan Hendrawan, SIP., M. Hum.

In his speech, Yudhi said that with standardized electronic filing, a balance would be created between freedom of information, free flow of information, without eliminating data protection, protection of personal confidentiality, public agencies and state secrecy so that good governance is realized

At this event, Hendrawan presented electronic archive management in government circles. He explained that Indonesia now supports electronic archives as legal evidence in court with Law no. 43 of 2009 concerning Archives and Law no. 11 of 2008 concerning Information and Electronic Transactions. So from this it can be concluded that the importance of electronic records management is an effort to develop forms of support for the implementation of government accountability regarding applicable regulations.

Hendrawan stated that apart from being intact and accurate, electronic records must have three main characteristics, namely content, context, and structure. According to Hendrawan, electronic archives are also called new media archives which support the core values of the archive itself such as administrative, legal, financial, educational, research and documentation values.

Hendrawan added that in implementing an archival information system, it should be based on the needs of users, archivists, and institutional policies.

The activity, which was attended by approximately 102 people from SKPD, sub-district agencies, urban villages, and also other invitees, was also a series of socialization of Law no. 43 of 2009 concerning Archives. In addition to providing material provision, the archival Bimtek participants were also given practical training on standard archive management.
